Job Overview

As an Sales Operation Specialist at OPT, providing sales administrative support to ensure smooth daily operations. Responsibilities include preparing sales documents, tracking orders, coordinating with internal teams and customers for timely delivery and payment, as well as managing loan inventory records. The role also involves assisting with quotations, datasheets, and customer communication, with occasional local delivery support within the Stuttgart area. This position is ideal for a proactive, detail-oriented individual interested in building a career in sales operations within the machine vision and optical measurement industry.

Key Responsibilities

-Sales Administration: Provide day-to-day administrative support to the sales team to enhance efficiency and productivity. 
-Document Management: Prepare, process, and maintain sales documents, including quotations, sales orders, invoices, and related records. 
-Order Tracking: Track sales orders, monitor delivery status, and coordinate with finance and operations teams to ensure timely payments and order fulfillment. 
-Customer Coordination: Serve as a primary point of contact between the sales team, customers, and internal departments. 
-Inventory Management: Maintain and track loan inventory issued to customers, ensuring accurate record-keeping and following up on returns. 
-Technical Support: Proactively engage with clients to confirm delivery dates, provide datasheets, and assist in preparing quotations. 

-Local Logistics: Deliver parts to local customers in the Stuttgart area as needed. 


Qualification 

-Education: Degree in Business Studies/Administration OR a completed German vocational training (e.g., Industriekaufmann/-frau). 
-Experience: Entry-level candidates and motivated career starters are welcome. Prior experience in sales support or administration is a plus but not required. 
-Languages: 
German: Native or Business Fluent (C1/C2) is required. 
English: Business Fluent (written and spoken) is required. 
Mandarin: A strong advantage (Plus). 
-Software: Proficiency in Microsoft Office Suite, particularly Excel. 
-Attributes: Proactive, flexible, and adaptable mindset with the ability to work systematically under pressure. 
-Knowledge: Basic understanding of machine vision or optical measurement technology is a plus.
